- Data Protection conditions in New Segmentations
To meet the requirements of the main data protection laws, new conditions have been made available in the Segmentation feature of RD Station Marketing.
These laws require that personal data be processed only with the consent of the data subject, i.e. with the lead's authorization.
Ideally, authorization should be collected at the same time as the personal data is entered. Currently, it is possible to record information relating to the authorization given by the lead through:
- Conversion on Landing Pages, Pop-ups and Embedded Forms with Data Protection fields
- Conversion on Integrated Forms with Data Protection fields
- Lead Import settings
See the step-by-step guide below for setting up Segmentation:
- Access Engage > Lead Segmentation.
- Click Create Segmentation.
- Name your segmentation. Remember to use a name that is easy to remember.
- Select Data Protection:
- Data Processing
Legally, it is the authorization given (or not) by the lead to process their personal data, which includes simple activities such as: collecting data and storing it in the lead base. Ideally, no lead should be included in the RD Station Marketing lead base without this authorization.
- Receive Communications
This is the authorization given (or not) by the lead to receive communications and to the data processing required to carry out such action. In other words, it is authorization to receive emails or any other type of communication (phone calls, WhatsApp messages, etc.).
Authorization to receive communications must be collected separately from Data Processing authorization and usually takes the form of a checkbox field on conversion forms, such as the Communication consent field.
- Select between the options Agreed, Declined and No information:
- Agreed and Declined
- No information
Here, the lead has no data relating to legal bases registered in RD Station Marketing. This does not automatically mean that there is no legal basis - just that this information doesn't exist within the tool.
Leads with authorization for receiving communications
It is understood that leads meeting this condition can be contacted by your company via RD Station Marketing without problems. Of course, it is always a good idea to respect the marketing rules and best practices relating to email sends, for example. So, be careful with the volume of messages you send!
Leads without authorization for receiving communications
In other words, it is the opposite of the previous item. Here, we understand that these leads did not authorize communication. Therefore, you cannot contact them via RD Station Marketing.
Leads without legal bases
This is the scenario where you do not have information about Data Processing or about sending communications to your leads. This means: this information does not exist in the tool for these segmented leads, even though some of them may already be your customers, for example.
We recommend that you obtain the authorization of your leads. You can ask leads that are already in your base to give their authorization for data processing as well as communication.
In the New Segmentation feature, the same conditions are available in the Data Protection section. The process is a little simpler, but provides the same information.
Step-by-step setup guide
- After selecting any of the Data Protection conditions, you can segment based on the response given by the lead, either agreed, declined or no information.
